SAP Business One First Time User
Using a software as complex as SAP can be quite daunting and even discouraging at first glance but I’m here to dispose of this myth by delving into SAP Business One with absolutely no prior experience with it.
Hi, I am Nicolas Gutierrez, a college student studying business administration and an intern at Consensus for the summer. For the next couple of months, I have been tasked with documenting my journey with Business One day-by-day in diary form so that those reading along can see exactly what is going through my head each step of the way. By the end of my internship, I hope to have shown all those intimated by SAP Business One that all it takes is a mediocre understanding of technology to build a solid foundation with the right instructions.
Where should I start my journey in SAP Business One?
To attain an initial broad understanding of SAP Business One I started my learning process with the “Introduction” YouTube video before diving into the more specific video tutorials.
With little to no prior knowledge of the functions of SAP Business One, I found that the Introduction video was a great place to start. It gave me an idea of what SAP Business One is capable of while giving me a brief look at the interface without going into too much detail about specific functions of the software.
With a general grasp of what Business One is, I began to watch the YouTube tutorials in the order they were in the playlist starting with the video titled “Purchasing” which you can watch below.
I enjoyed the scenarios that were stated before the tutorials began because it helped me understand how the different function worked cohesively. The scenarios not only explained how they worked but when they would be used as well. This made it easy to follow along with the instructions since they were in chronological order. However, even though it was easy to follow along, it was difficult to retain the information because of the amount being explained. By re-watching the videos two or three times I was able to really understand them.
The videos are detailed, and the narration is thorough, leaving seemingly little aspects of SAP Business One untouched. While explaining a step in a hypothetical scenario, the narrator will take a moment to briefly highlight other tools and functions that don’t relate to the topic at hand but are useful for users to know. After only watching four tutorials, I now feel comfortable navigating through Business One due to the comprehensive explanations.
While I have learned a great deal of information through these tutorials, I have also managed to soak in some information at the office while observing and conversing. DTW (Data Transfer Workbench) is something that has been brought up to me several times. If I were the owner of a company the largest concern I would have about switching to SAP Business One would be about how I would transfer my information from the ERP software system I am using now to Business One. Apparently, the answer is much simpler than one would expect because DTW is a migration tool that can do just that. With templates provided by Business One, the transition is easy. By following the templates instructions and organizing everything in the correct column you should have all your information on Business One in no time but I still need to experience it for myself. In the next couple of days, I will be diving into a real DTW project, stay tuned for the next Blog!
